Terms of service

Hello! These terms explain how buying from Keepsake Club works. They're written in plain English, but they're still a legal agreement, so please give them a read before you order. Nothing in these terms affects your legal rights as a consumer.

1. Who we are

Keepsake Club is run by a small team of marketers and designers, operating as a sole trader trading as Keepsake Club ("we", "us", "our").

Our online shop is hosted by Shopify. Our printed products are made and shipped by our print partner.

2. Your order

  • When you place an order, you're offering to buy from us. We'll email to confirm we've received it. The contract between us starts when we send that confirmation.
  • We may decline an order, for example if a photo isn't suitable (see section 3) or a product is unavailable. If we do, we'll tell you and give you a full refund.
  • Please check your order details, including any pet's name you've typed in, before you pay. We'll print names exactly as you give them.

3. Your photos

When you send us a photo, you confirm that:

  • you took it, own it, or have permission to use it; and
  • if it shows other people, you have their permission (or, for children, their parent's or guardian's permission) for us to use it to make your order.

You keep ownership of your photos. You give us permission to use them only to create, check, print and deliver your order and to help you with any questions about it. We will never use your photos or your finished portrait in our marketing unless you've clearly said yes.

We won't make artwork from photos that are offensive, unlawful or that infringe someone else's rights, or that feature celebrities, brand logos or well-known characters. If that happens, we'll get in touch and offer you the chance to send a different photo or a full refund.

4. How your portrait is made

Each portrait is created from your photo using digital image tools and is checked by our team before anything is printed. Because every portrait is an artistic interpretation in the style you choose, details such as markings, colours, backgrounds and poses may be stylised rather than copied exactly. Colours on screen can also look slightly different from the printed product.

5. Previews and your free tweak

  • We'll email you a preview of your portrait before we print or send anything.
  • Every order includes one free tweak. Just tell us what you'd like changed and we'll update it.
  • If you'd like more changes after your free tweak, we'll do our best to help and will let you know beforehand if there's any extra cost.
  • Once you approve your preview, we send it to print (or send your digital file), so please check it carefully, including spelling of names.
  • If we haven't heard from you within 30 days of sending your preview, we'll cancel your order and refund you in full.

6. Cancelling

Because every Keepsake Club product is personalised and made to your specification, the usual 14-day right to change your mind under the Consumer Contracts Regulations 2013 doesn't apply. But we want to be fair, so:

  • Before you approve your preview, you can cancel for a full refund. Just email us.
  • After you approve your preview, your order goes into production and can't be cancelled.
  • Digital files: by approving your preview, you agree that we can deliver your digital file straight away, and you understand that you then lose the right to cancel.

7. If something's wrong

If your order arrives damaged, faulty, or isn't what you approved, we're sorry and we'll put it right. Please email us within 30 days of delivery with your order number and a photo of the problem. We'll offer a free replacement or a refund. You don't need to send the item back unless we ask.

This doesn't affect your legal rights under the Consumer Rights Act 2015 (or the consumer laws where you live), which say that products must be as described, fit for purpose and of satisfactory quality.

We can't offer refunds or replacements for spelling mistakes or details that were in the preview you approved, or for changes of mind after approval.

8. Prices and payment

  • Prices are shown on our website and at checkout. Delivery costs are shown at checkout before you pay.
  • Payment is taken when you place your order.
  • If we make an obvious pricing mistake, we'll contact you before your order goes ahead. You can choose to continue at the correct price or cancel for a full refund.
  • Discount codes can't be exchanged for cash, can't be combined unless we say so, and may have an end date.

9. Delivery

  • Printed products are made and shipped by our print partner, which prints in the UK, US and EU to keep delivery fast. Delivery times shown are estimates and start once you've approved your preview.
  • Digital files are sent by email once you approve your preview.
  • For orders delivered outside the country they're printed in, local import duties or taxes may apply. These are the recipient's responsibility.
  • If your parcel hasn't arrived within the estimated time, please email us and we'll chase it with the courier.

10. Using your portrait

Your portrait is for your personal, non-commercial use. You're welcome to print it, frame it, share it on social media and give it as a gift. Please don't sell it, or use it to promote a business, without asking us first. We may keep a copy of your order files for a limited time so we can help with reprints or problems (see our Privacy Policy).

11. Our responsibility to you

If we don't meet these terms, we're responsible for loss or damage you suffer that's a foreseeable result of our failure. We're not responsible for losses that weren't foreseeable, or for business losses (our products are for personal use). Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that can't be limited by law.

12. Your information

We only use your personal information, photos and order details as set out in our Privacy Policy.

13. Changes to these terms

We may update these terms from time to time. The version that applies to your order is the one shown on our website when you placed it.

14. The law that applies

These terms are governed by the law of England and Wales. You can bring legal proceedings in the courts of England and Wales. If you live in Scotland or Northern Ireland, you can also bring proceedings there. If you live elsewhere, you also keep any protections the consumer laws of your country give you.
